Schedules may shift due to weather, holidays, or other unforeseen circumstances. If we need to reschedule your cleaning, you will be notified. Weather Conditions – In the event of rain on your service day, the pool will be cleaned to the extent weather permits and chemicals will be added. Be aware that we cannot clean the pool when lightening is present. In the event of a natural disaster such as a hurricane, tornado, major flooding, etc., Ama Pools reserves the right to act in the best interest of the safety of our team and customers, and we will make every effort to ensure your pool is taken care of and safe. This could result in a partial or missed service which will not be eligible for a credit. If service or partial services are provided, service will not be rescheduled. Holidays – AMA Pools closes for the following holidays: New Year's Day, Fourth of July, Thanksgiving Day, and Christmas week. We work ahead of each holiday to make sure your pool is in excellent condition with chemical levels stocked to carry it through. If your service day falls on a holiday, it will be rescheduled. A technician remains on call for emergencies during Christmas week. Please note that no credit is provided for these planned closures. Property Access & Pets – Residents of gated communities must add AMA Pools to their approved visitor list or provide us with the gate code. It is the customer's responsibility to ensure the technician can reach the pool on the service day. If a gate leading to the pool is locked or access to the property is blocked, the service will be skipped and billed as normal. If you have dogs, please keep them inside during our service visit for your pet's safety and our team's. Service may be skipped if the technician does not feel safe entering the yard Pool Equipment and Robotic Vacuum – Please provide clear access to the pool and equipment, and keep the pump area clean. If you have a robotic vacuum, your technician can help make sure it's clean and running properly during the regular weekly visit. If an issue comes up between visits, it will be addressed at the next scheduled service. For rental properties, please advise your tenants and guests on proper pool use and care to avoid problems — particularly with the equipment. Pool Water Level and Potential Leak – It is the customer’s responsibility to maintain the proper water level in the pool and to maintain equipment in proper working order. The water level should be at the middle of the skimmer for us to vacuum or maintain your pool. Our technicians may assist you by adding water or draining water from the pool, however they are not responsible to do so since the process may require a long wait time for completion. If the pool is losing water quickly in a short period of time, we’ll recommend you a leak inspection and repair. We may not be responsible for the quality of your pool if the leak is not taken care of as soon as it’s detected. Equipment Repairs & Leak Detection - Equipment troubleshooting, repairs, and pool/spa leak detection are not included in pool maintenance. Your tech may take a quick look during the weekly visit, but anything requiring a repair technician will need to be scheduled as a separate service call. Additional Charges: - Stabilizer Fee - This fee covers the extra chemicals used over the past six months — stabilizer (cyanuric acid), chlorine, calcium, salt, sodium bicarbonate, and algaecide — all essential to keeping your pool running at its best. It's billed twice a year, in July and December, at 50% of your monthly rate. - Filter Cartridge Replacement – We recommend replacing your cartridge filter every 8 to 12 months and will let you know when yours is due. Newly built pools may need an earlier replacement, since the filter catches leftover construction debris. - Phosphate Treatment - Phosphates enter your pool from lawn fertilizers, hair and skin products, leaves, and rain or groundwater runoff. They reduce chlorine's effectiveness, which leads to algae growth and green or murky water. Since phosphates can't be avoided entirely, we apply a phosphate-reducing treatment once a year to keep levels low - Hurricane Recovery Fee - Before a hurricane or major storm, you'll receive instructions on securing your pool. Afterward, heavy rain and wind-blown debris typically mean at least two weeks of work and a significant amount of extra chemicals to get the pool clean and safe for swimming again. An additional fee may apply in these cases. Payment: Invoices are billed on the 1st of each month for that month's service and are due by the 8th. Additional maintenance calls are billed at the per-visit rate at the time of service. Invoices for repairs or installations are due upon completion of the job. Please let us know if you are not receiving your invoices. Forms of Payment - You can pay online when your invoice arrives or mail us a check. You may also set up autopay, which charges your account on the 10th of each month — just complete the payment authorization form attached to this email. Late Payment & Service Suspension - Customers agree to make monthly payments on schedule. After the due date, weekly reminders are sent to all overdue accounts. Invoices unpaid 14 days past the due date are subject to a 5% late fee. Unless prior payment arrangements have been made, two consecutive unpaid invoices may result in suspension or cancellation of service, along with an additional processing fee. Service resumes once payment is received. Please note that we are not responsible for the pool's condition during a suspension, and additional charges may apply to restore it to swimmable condition. Cancellation Policy - Either party may cancel this agreement at any time. Cancellations requested during the month take effect on the last day of that month, and no refunds are issued for partial months of service. Please ensure any outstanding balance is paid before requesting termination of service.
